Bali Wedding Vendor Checklist
A Bali wedding takes a whole team. Here’s every vendor you’ll likely need, what each does, and how to assemble a reliable line-up.
A wedding is a team effort
Behind every beautiful Bali wedding is a small army of suppliers, each handling one piece of the day. It’s easy to underestimate just how many vendors a wedding involves until you start listing them — and trying to source, book, contract and coordinate a dozen of them from overseas is exactly where couples get overwhelmed. This checklist lays out the full team so you know what’s involved, whether you’re booking yourself or (wisely) having a planner do it for you.
The core vendor checklist
Most Bali weddings draw on these suppliers:
- Planner / coordinator — designs the wedding and runs the day.
- Venue — your villa, beach club, clifftop or resort.
- Caterer — the food, kitchen and waiting staff.
- Bar / beverage service — drinks packages and bartenders.
- Florist & stylist — bouquets, ceremony florals, tablescapes and decor.
- Photographer — capturing the day in stills.
- Videographer — a cinematic film of the wedding.
- Hair & makeup artist — for the couple and bridal party.
- Celebrant / officiant — for a legal, religious or symbolic ceremony.
- Entertainment — DJ, live band, MC or performers.
- AV & lighting — sound systems, microphones and lighting.
- Furniture & decor rentals — seating, tables, arbours, lounge areas.
- Cake supplier — your wedding cake or dessert table.
- Transport — guest transfers and couple’s car.
Larger or luxury weddings may add specialists — a marquee company, fireworks or effects, dancers, a planner’s on-site crew and more.
Why booking blind is risky
Bali has a deep pool of talented vendors, but it also has plenty of variable ones, and pricing for overseas couples is often inflated. Booking suppliers sight-unseen from another country is one of the most common mistakes couples make. The difference between a vendor’s polished portfolio and their real-world reliability isn’t visible from a website — it’s something only local experience reveals.
The value of one point of contact
This is the real argument for a planner or organizer. Instead of managing a dozen separate relationships — twelve sets of quotes, contracts, deposits, timelines and personalities — you deal with one team that already knows and trusts these suppliers. We source the right vendors for your style and budget, secure fair pricing through established relationships, handle every contract, and coordinate the whole team on the day so it runs like clockwork. Many of these vendors are bundled into our packages too.
Let us assemble your team
You don’t need to become an expert in a dozen wedding trades to marry in Bali — you just need the right people, expertly coordinated. Tell us your vision, guest count and budget, and we’ll build a vendor team that fits, manage every one of them, and deliver a seamless wedding day. One contact, one plan, zero chasing.
